If you run an NDIS or aged care organisation, you already know when your software isn’t working as hard as your team is. Rostering takes too long. Billing needs double handling. Compliance evidence lives in three different places. You’ve looked at alternatives, and you may even like one.
Then comes the thought that stops most providers cold: moving everything across is going to be a huge project.
That concern is fair. Your care management system holds participant records, rosters, service agreements, billing history and the compliance trail your auditors rely on. Getting it wrong isn’t an inconvenience. It affects the people you support and your registration.
So here is exactly how Appoyo moves providers across: what we do, what we need from you, and why your current system stays live until you’re ready to let it go.
Why providers put off switching, even when they want to
When we talk to providers, “it’s too big” usually comes down to one of four things:
- Continuity risk. What happens to shifts, claims and participant care during the changeover?
- No one has the time. Coordinators and managers are already at capacity. Nobody can run an implementation on top of their day job.
- Data worries. Will participant histories, plans and billing records come across accurately?
- A bad past experience. Plenty of providers have lived through a software rollout that dragged on for months.
Every step of our process is designed around those four concerns.
The short version: you don’t switch everything on day one
The biggest misconception about changing care management software is that it’s a single, all-or-nothing event. It isn’t, and it shouldn’t be.
With Appoyo, you run a parallel start. We begin with one team, one site or one service line. Your existing platform keeps running the rest of the business while that first group goes live. You only move the next group when you’re confident the first is working. There’s no hard cutover date forced on you, and no weekend where everything has to go right at once.
How the Appoyo switch works, step by step
Step 1: Discovery and a written migration plan, before you sign
We map how your organisation actually runs today: your support types, rostering patterns, billing setup, funding streams and compliance requirements. You get a written migration plan with dates, milestones and named owners before you commit. If the plan doesn’t make sense for you, you’ll know early.
Step 2: We do the data migration
Our team extracts, cleans and imports your data: participants, staff, service agreements, rates and history. Your team’s job is to check the results, not to build anything. We provide validation reports so you can confirm records came across correctly before anyone relies on them.
Step 3: Configuration built for NDIS and aged care
Appoyo is set up for your sector from the start: support catalogue pricing, SCHADS award rules, funding types and your own workflows. You’re not handed a blank system and left to work it out yourself.
Step 4: Your first team goes live, with the old system still running
A pilot group starts using Appoyo for real rostering, shift notes and billing. Your existing system stays live for everyone else. Your implementation lead stays close through this stage, fixing issues quickly and adjusting configuration as your team gives feedback.
Step 5: Train, expand, then retire the old system
Once the first group is settled, we train and move the next group across. When every team is live and you’re satisfied, you retire the old platform on your terms.

How long does switching NDIS software take?
For most providers, the full switch takes around 8 weeks from signed plan to every team live. Smaller organisations with a single site and a simpler service mix can move faster. Larger, multi-site providers may take a little longer.
Either way, your written migration plan sets out your exact timeline before you commit, so there are no open-ended surprises.
What it costs to stay where you are
Changing systems takes effort. Staying on a system that doesn’t fit also has a cost, it’s just harder to see. Every hour a coordinator spends re-entering data, chasing shift notes or reconciling claims is an hour not spent on participants. Every manual workaround is a compliance gap waiting for an audit.
Your team got into this work to care, not type. The right system should give them that time back.
Switching from ShiftCare, Lumary, FlowLogic or another platform?
Whether you’re currently on ShiftCare, Lumary, FlowLogic, another care management platform or a set of spreadsheets, the process is the same: a written plan, a migration we run for you, and a parallel start so nothing is switched off before you’re ready.
If you’d like to see what a migration plan would look like for your organisation, book a time with our team and we’ll map it out with you. No commitment required.
